A booking system for massage therapists: LINE booking, deposits and a public page

SomaTrace keeps all of this in one app: a public booking page, LINE Official Account connection, deposits and payment logging, calendar sync, and the client notes behind each booking. Each item below links to the step-by-step guide.

What a booking system for bodyworkers should do

When you work alone or in a small studio, your time is your inventory. A booking system is not about giving clients a form to fill in. It solves three problems that come up every day: going back and forth to confirm a time, not knowing whether the deposit arrived, and having the details scattered across different places once the booking is made.

  • Your own schedule: weekly hours, days off and one-off changes are set by you, not assigned by a platform.
  • Booking from LINE: most clients already message you on LINE, so there is no extra account to create.
  • Deposit first: it softens the cost of last-minute cancellations, and you no longer scroll through chats to see who paid.
  • Bookings linked to client records: when the client arrives, you open their last session, not a blank form.

How SomaTrace handles each part

A public booking page with your own hours

Set up one shareable link where clients see your introduction and open times and submit a booking directly. You can set weekly hours (several blocks per day), mark a day off or give it different hours, and set a booking cutoff, minimum duration, spacing between bookings, earliest bookable time and a daily client limit. Submitted bookings land in your Schedule.

Clients book straight from LINE

Once your LINE Official Account is connected, clients can enter from the LINE entry on your public page, or you can send a personal booking link inside the chat. SomaTrace recognises the client by their LINE identity, so a repeat booking maps back to the existing client record. The LINE connection is a Studio-plan feature.

Create a booking from a chat message

When a client writes "can I come Saturday afternoon?", you do not need to retype it elsewhere. Long-press the message and the screen splits: the conversation on top, the booking form below, with a button to bring the client's own words into the booking note. After saving, the booking appears under Schedule, then Appointments.

Deposits and payment logging

On the public page, the charge setting can be none, deposit, or full amount; a deposit can be a fixed sum or a percentage, and can apply to first bookings only. You add your transfer details, the client transfers and reports the last five digits of their account, and the booking is confirmed once you verify receipt. The payment section on each booking tracks the deposit, the balance and what is still owed; revenue is based on what you actually received, and bookings awaiting a deposit are flagged in the list.

Calendar sync

With Google Calendar connected, times that are already busy on Google are blocked on your public page automatically, and confirmed bookings are written to the calendar you choose. If you only want to see bookings on your iPhone, you can subscribe to the booking calendar and view it, read-only, in the built-in Calendar app. Note that if Google is temporarily unreachable the last busy periods read keep blocking, but if authorisation is revoked that calendar stops blocking and the booking page stays open, so watch the status shown in the app.

Bookings that connect to client notes

A booking belongs to a client, and that person's sessions, bookings and payments all live in one place. Before they arrive you can look back at the last session, then log this one on the spot, with no second tool to keep in step.

Does it work for other kinds of bodywork studios?

The booking side does not depend on your technique. You define your own services, durations and prices, and clients only see the times you open. Tui na, traditional bone-setting, aromatherapy, sports massage and other bodywork all follow the same flow, as long as you are a solo practitioner or a small team taking appointments by time slot.

If your studio has guest practitioners, shifts they cover show their name in the title when you subscribe to the booking calendar on your phone, so you can tell who is working.

Frequently asked questions

Do clients have to install an app to book?

No. Clients open your public booking link, choose a time and submit. Booking through LINE does not require signing up or downloading anything either.

Do I need a LINE Official Account?

No. The public booking page works on its own and the link can be shared anywhere. Connecting a LINE Official Account is a Studio-plan feature that lets clients get a booking link inside LINE and brings your messages into SomaTrace.

How are deposits collected?

Choose deposit or full amount under the charge setting of your public page and add your transfer details. The client transfers, reports the last five digits, and the booking is confirmed once you verify receipt. Charging at booking is a Studio feature.

Is it free?

Signing up gives you a full 14-day trial with Studio-level features. The free plan holds up to 15 clients and 50 records in total, and every plan includes the public booking page; LINE connection and payment records are Studio features. The plan comparison on the home page shows the differences.
